About the Role
As the Real Estate Administrator, you will play a crucial role in managing property transactions, preparing legal documents, and ensuring seamless coordination between all parties involved. This role requires excellent organizational skills, strong attention to detail, and the ability to work in a deadline-driven environment.

Key Responsibilities

  • Prepare and manage documentation related to real estate transactions, including Form 1 – Vendor’s Statements.
  • Conduct property searches (Title, Council, SA Water, Revenue SA, etc.) and analyze results.
  • Verify ownership details, encumbrances, easements, caveats, and all relevant interests on property titles.
  • Communicate with clients, real estate agents, mortgage brokers, and legal professionals to obtain necessary information.
  • Maintain accurate records and manage deadlines for document preparation and submission.
  • Stay updated with changes in conveyancing laws and regulations related to vendor disclosure.
  • Assist with the preparation of transfer documents and settlement statements.
  • Monitor and track settlement deadlines, ensuring all required documents are obtained on time.
  • Ensure all documents are filed correctly and comply with legal and regulatory standards.
  • Provide administrative support and assist with general office tasks within the conveyancing team.
Skills & Experience
Previous experience in real estate administration, conveyancing, or property law is preferred. A strong understanding of SA conveyancing laws, particularly vendor disclosure requirements, is essential. The ideal candidate will have excellent attention to detail and the ability to manage multiple files simultaneously. Strong communication and organisational skills are necessary, along with proficiency in Microsoft Office Suite (Excel, Word, Outlook) and electronic signing software. A proactive and problem-solving mindset, as well as the ability to work independently and collaboratively in a team environment, will be key to success in this role.
