Asset & Accounts Administrator

Role: Asset & Accounts Admin/Coordinator
Location: Adelaide, SA
Work Type: Permanent Full-Time

This is a full-time, permanent opportunity working within a high-profile property owner with a large mixed-use portfolio. As the property team continues to grow, an opportunity has arisen for an experienced accounts administrator to join the team. You will play a critical role in supporting the property team by managing accounts administration and ensuring the smooth operation of property management tasks.

The Role –

In this role, you’ll support the property team by managing accounts administration, updating databases, tracking accounts progress, and preparing reports. You’ll also maintain relationships with key stakeholders and ensure timely and accurate management of accounts receivable and payable. Ideal candidates will have experience in commercial property or retail accounts administration, strong communication skills, attention to detail, and the ability to work effectively in a dynamic, collaborative environment.

Responsibilities –

  • Entering all accounts receivable receipts
  • Assist with processing daily bank reconciliations
  • Assist asset officer with entering accounts payable invoices
  • Process all accounts payable invoices for payment on a weekly basis ad-hearing to due diligence checks
  • Following up with creditors regarding payment due dates, extensions and payment plans where required
  • Processing vacates reconciliations and make good transactions
  • Manage & maintain security bonds processes (lodgement, refunds & tracking)
  • Assist asset officer with Sales figures collection & reporting
  • Upkeep and maintenance of multiple inboxes
  • Review outgoings budgets and provide support to trust accountant to finalise EOFY processes
  • Assist with mail out of outgoings budgets for tenant procurement
  • Assist with mail out of EOFY reporting for landlord procurement
  • Process all Casual Mall Leasing requests including agreement signing, raising invoices, booking confirmation and Xero
Asset Admin –
  • Assist Estate Co-ordinator & Trust Accountant with lessor & lessee correspondence regarding renewals & extensions
  • Assist with lease administration.
  • Collation and/or reviewing of documents: agreement to lease, disclosure statements, Lease, REISA agreements
  • Utilising information to enter companies & leases into Cirrus 8
  • Assist with collating and mailing tenant and landlord intention letters, proposals and solicitor instructions
  • Utilise electronic signing methods (Adobe, Docusign)
  • Assist with processing monthly & quarterly rent reviews
  • Assist with lease reviewing, entering, invoicing, funds allocation, letter mail outs
 
General Admin –
  • Provide support to Commercial Management Team
  • Tenant and landlord communications via phone and email
  • Ability to utilise software/management systems: Cirrus 8, Adobe Acrobat Pro, Docusign, Adobe Sign, Microsoft suites (word, excel & outlook)
 
About You –
  • Experience: Prior experience with exposure to commercial property or retail accounts administration is essential.
  • Communication Skills: Strong communication and stakeholder engagement abilities.
  • Property Knowledge: Strong understanding of property leases, ancillary documents, and their application.
  • Attention to Detail: Excellent attention to detail with a history of accurate and thorough work.
  • Team Player: Demonstrable history of being an integral member of a hardworking and close-knit team.
  • Flexibility: Ability to hit the ground running, be flexible in your approach, and confident in learning swiftly.
  • Stakeholder Management: Experience in dealing with a wide range of stakeholders including landlords, real estate agents, and legal representatives.
  • Technical Skills: Capability to assess tenant’s invoices, set up leases, and manage tenancy information according to processing guidelines.
